Cemetery Map Project:
How to create a map using Word 2000

You will be constructing a map of your cemetery section for this project. The map can be drawn in any graphic drawing program, but we suggest Word 2000 because it is easily available on campus and is relatively simple to use. If you want to use a different program, see Dr. Ludwig or Matt before you begin.

Note: The following instructions do not show every possible method for drawing your map. These are just basic directions for drawing in Word 2000. Before starting your map, read the materials listed on the October 4 link on the website

Getting Started:

To display the drawing tool bar:

Select "VIEW" from the top toolbar

Select "TOOLBARS"–a menu will appear to the right.

Select "DRAWING" from the menu by highlighting it and clicking once

To display rulers, select the "VIEW" menu, and scroll down to the arrows at the bottom of the menu to expand it. Select "RULERS." The rulers should show up on the top and left margins of your screen.

To display a grid on the screen: (note–you do not HAVE to use a grid)

Click "DRAW" from the drawing toolbar at the bottom of your screen. Select "GRID," and a separate "drawing grid" box will appear. In this box, uncheck the 2 boxes under the heading "snap to." Uncheck these boxes even if you do not want to use the grid. Under "grid settings," you can define the size of your grid boxes. You can define any size, but we recommend using a grid with spacing of .25". Click "use margins" box under "grid origin." Click "display gridlines" to see your grid on the screen. This grid will not appear when you print your map. Click "ok" to save settings.



Paper Size and Orientation:

Your map must be drawn at a scale of 1:125. Most maps should fit on an 8.5" x 11" sheet of paper. If you have a very large section and your map does not fit, you can use 8.5" x 14" or 11" x 17" paper. To change to 8.5" x 14," select the "FILE" menu at the top of the screen, then the "PAGE SETUP" menu, then the "PAPER SIZE" tab in the box that appears. Select "legal" size, and click "OK." If you want to use 11" x 17" paper, see Dr. Ludwig or Matt before you begin.

Keep in mind that North must be at the top of your map. If your section is long and narrow east to west, you should orient your paper to "landscape." To change the orientation of the paper from "portrait" to "landscape," select the "FILE" menu, and select "PAGE SETUP." From the "page setup" box, select the "paper size" tab to change size and orientation. Select "landscape’ and click "OK."

Margins should be at least .5" wide. Adjust the margins using the menu of the "margins" tab in the page setup box by highlighting the numbers in the boxes and typing your own numbers or using the arrows beside the boxes to adjust the numbers. Click "OK" to set these margins.



SYMBOLS

The specific instructions for the symbols you will place on your map will be on the website. From the Oct. 4 link, select the "specs sheet" link from the webpage. Print this page–you will refer to it often.

To draw grave marker symbols: select the oval symbol from the drawing toolbar. Your cursor will change to a cross. Draw a circle by holding down the left mouse button and dragging the mouse across the screen. Double-click on the circle. The "format autoshape" menu will appear. Select the "SIZE" tab and enter .04" in both the width and height boxes. Select the "colors and lines" box. Under the "Fill" heading, click the "color" menu and select BLACK. Click ok. All of your grave markers must be this size and color.

Each grave marker will be labeled with the number corresponding to your excel database. Your text size must be Times New Roman 8 pt. To number your graves, select the Text Box icon from the Drawing toolbar, and draw a box. Inside the box, type the grave number. If your numbers do not show up, draw a bigger box. A cursor will appear in the box. After entering the number, shrink the box by clicking on and moving one of the corner boxes. After resizing, make sure that the numbers are still visible. Double-click on the box, select "colors and lines" from the "format text" box. Change the line color to "no line." Click ok.

Select your textbox again. From the drawing toolbar, select the "draw" menu, highlight the "order" tab, and select "send to back." This will place your textbox behind the grave marker. Position your textbox above the grave marker. When you unselect the textbox, both the grave dot and the number should be visible.

To draw a tree, draw a circle, double-click on it, and under "colors and lines," select "no fill" as your fill color. Under "size," enter .08" for height and width.

To draw fences and curbing around a family plot: (note–fences and curbing are NOT drawn to scale)

Fences: Select the line icon from the drawing toolbar. Draw a line in the same way you drew circles, and double-click on it. Under the "colors and lines" tab, change the weight of the line to 6 pt. Select "round dots" from the "dashed" box. To specify the length of the line, select the "size" tab and enter the appropriate length in inches under "height" (for vertical lines) or "width" (for horizontal lines).

Curbing: draw a line and double-click on it. Under "colors and lines" make the weight 1.5 pt. In the "dashed" box, select a "dashed" line.


To draw a building, or mausoleum:

Select the box icon from the drawing toolbar, and draw a box. Double-click on it. Under "Size," specify the appropriate height and width in inches to draw the building TO SCALE.

For mausoleums, your box should have no fill. Place the appropriate grave numbers outside of the box, using the text box and numbering instructions described above.

For all other buildings, the box should have blue fill (double-click, select blue fill under "colors and lines").



To draw Roads and Sidewalks (THESE MUST BE DRAWN TO SCALE):

Draw your line and double-click on it.

Change the length of your line by changing the height (vertical lines) or width (horizontal lines) under the "size" tab.

Under the "color and line" tab, select the appropriate type of dash to represent the type of road, according to the symbols SPECs sheet. To draw the road width to scale, change the line "weight" to the appropriate width, in inches (for example, .25").


To draw street signs, corner stones on family plots, and other markers not covered above, draw a circle using the method described above. Double click on the circle, select the "size" tab, and enter .08" in both the height and width. Under "colors and lines" select BLACK as your fill color. Each of these markers must be labeled with lower-case letters in 8 pt. Times New Roman font, using the text box instructions listed above. On your legend page, make a list that describes what each letter represents on your map. The letters are sort of like footnotes in a paper: on your list, you might list "c–sign post: Prewitt and Switzler."


Drawing the neatline:

When you have finished drawing and labeling your map, draw a box along the margins of your page and double-click on it. Set the fill of the box to "no fill" and change the line weight to 1 pt. Your entire map, including the roads and fences, will be INSIDE the neatline.
